This Privacy Policy describes how Estate Engine ("we", "us", "our") collects, uses, and shares information when you use the Estate Engine mobile application (the "App"). The App is a workplace tool provided to attorneys and staff at law firms that subscribe to the Estate Engine practice management platform.
1. Who this policy applies to
The App is intended for use by authorized personnel of subscribing law firms. If you are an end client of one of those firms, for example, you have called or texted a number powered by Estate Engine, your interactions are governed by the firm's own privacy practices. We process your data on the firm's behalf as a service provider; please contact the firm directly for questions about the data they hold about you.
2. Information we collect
Account information
- Your firm's Estate Engine workspace URL (domain).
- Your username and authentication tokens.
- Your name, email address, and role as set in your workspace.
Communications data
- Phone numbers and the content of SMS/MMS messages you send or receive through the App.
- Call metadata (numbers dialed or received, timestamps, duration). The App does not record call audio by default.
- Photos and other media you choose to attach to outbound messages.
Device and technical information
- Device model and operating system version.
- Push notification tokens (Apple Push Notification service on iOS, Firebase Cloud Messaging on Android) used solely to deliver inbound call and message alerts.
- App version, crash diagnostics, and basic error logs.
- IP address and approximate network information from API requests, used for security and abuse prevention.
Permissions we request and why
- Microphone - required to make and receive voice calls.
- Notifications - required to alert you to inbound calls and messages.
- Photos / media - only when you explicitly choose to attach an image to an outbound message.
3. How we use information
- To authenticate you and connect the App to your firm's Estate Engine workspace.
- To route inbound and outbound calls and messages through your firm's communications provider.
- To deliver push notifications for inbound activity.
- To maintain a record of communications inside your firm's workspace for matter management and compliance purposes.
- To diagnose crashes and improve reliability.
- To detect and prevent abuse, fraud, and unauthorized access.
4. How we share information
We do not sell your personal information. We share data only as needed to operate the service:
- Your firm's Estate Engine workspace. Communications and account data are stored within the workspace your firm administers. Your firm controls who within the firm can access it.
- Twilio Inc. processes voice calls and SMS/MMS on our behalf. See Twilio's privacy notice.
- Apple Inc. delivers push notifications on iOS via APNs.
- Google LLC. delivers push notifications on Android via Firebase Cloud Messaging.
- Legal compliance. We may disclose information if required by law, valid legal process, or to protect the rights, property, or safety of users or the public.
5. Data retention
Communications and account data are retained inside your firm's Estate Engine workspace for as long as the firm maintains its subscription, subject to the firm's own retention settings. Push notification tokens are retained while you remain logged into the App and are deleted on logout or when the device unregisters. Diagnostic logs are retained for up to 90 days.
6. Security
We use industry-standard safeguards to protect data in transit (TLS) and at rest. Authentication tokens are stored using the device's secure storage (Keychain on iOS, Keystore on Android). No system is perfectly secure, however, and we cannot guarantee absolute security.
7. Your choices and rights
- You can revoke microphone, photos, or notifications permissions at any time in your device's settings. Some features will be unavailable while a permission is revoked.
- You can sign out from within the App, which clears stored credentials on the device and unregisters its push tokens.
- To request access to, correction of, or deletion of personal data we hold, contact your firm's Estate Engine administrator. If your firm is unresponsive or you need to reach us directly, contact us at the address below.
California residents (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information we collect, to request deletion of personal information, to correct inaccurate personal information, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising.
European/UK residents (GDPR/UK GDPR)
If you are in the European Economic Area or the United Kingdom, you have the right to access, rectify, erase, restrict, or object to processing of your personal data, and the right to data portability. The lawful bases on which we rely are the performance of a contract with your firm and our legitimate interests in operating and securing the service.
8. Children
The App is a workplace tool and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
9. Changes to this policy
We may update this policy from time to time. When we do, we will post the revised policy at this URL and update the "Last updated" date above. Material changes will be communicated through the App or via your firm's administrator.
